and overview of system.
The
system contains an integrated set of web based and local network based programs
that allow the following functions:
Local network:
Student Records. A Microsoft Access database that allows keeping student names
and addresses, parents names and address, staff names and addresses and other
relevant information. Major topics:
Master
file is a
list of each student, assigned counselor, data in, data out, and status.
Students contains student and parent
information.
Staff list staff name address
info.
Attendance allows the information to be
entered locally. Thus, attendance can be web or local based.
Payroll addresses the amount to be
paid to counselors based upon master file information.
Cumulative
file addresses
whether the required documents, medical, transcripts have been received.
Funding sets up the allowable
amounts to be spent on each student.
Reports is a free form list of
reports. Any reports required can be entered here.
Departments. The
program has three functions.
The first is to finish the departmental reporting that YES did not have
The second maintain the student billing information on the
local network.
Third, a journal is provided to correct POs where they are
for several students, or where there are computer charges
involved. Journals are also provided for cash payments and internet
charges.
Learning Records. A Microsoft Access based
program that allows learning records to be entered on the teachers home
computers with automatic lookup of state standards. The learning records can be
entered on local computers or on the web as desired.
Registrar. At the beginning of the
year, the master agreement (contract) is set up. Then, the students can be
tracked through the year for allowable spending. The semester grades can be
entered and transcripts generated.
Library. Tracks items ordered from
the purchase order, to being checked out and returned by the students. Also contains the journals for other
spending and has the student billing information and status of student
materials.
Web:
The download
section contains all the forms for the school.
Discussion is a threaded discussion for
all to use.
Classes is a list of the classes and topics.
Purchase order allows online ordering of supplies.
Student accounts shows what has been spent on each student.
Attendance allows online entry of attendance info.
Learning records allows online data entry. At present, California standards are used.
Convert POs. The process has five
major programs.
GetPOs.bat
This is gets
the POs entered off the web and brings them to the local computer. Adds items
to library or computer department as required.
ConvertPOs.mdb Takes the downloaded POs and processes them to YES POs.
Menu.asp Web program to check number of PO items and delete POs from
web.
UploadYES.bat
This takes
the accounting database of the school and puts it on the web, so certain parts
can be viewed. (Run biweekly or when a lot of POs)
UploadRS.bat
Takes the
student record information and puts it on the web. (Run weekly)
Other required software:
The
system requires Microsoft Access 2000. Included with Microsoft Office
Pro.
The accounting
