Chapter 5: Library
Check out books to students and staff. Scan barcodes and print barcodes for books issued. Return books to stock and keep real time status of library for all departments

Library Tab
Checkout Books to Students
Click "Checkout books-student" from the Library tab. The student Library Journal edit screen displays:
Select a student from the Student drop-down list. The ID field and the transaction table populates automatically when a student is selected.

*Note
: The student can checkout several books in one transaction.Enter a supplier name (this will be "Library"), the PO Number (usually this is "1" unless this is the second transaction for this student in the same day).
Scan all items (books, CDs, tapes, etc.) checked out to this student. The items will display in the table.

Click the Funding button to view the student’s funding amount available for this school year.
Enter new library inventory items from the Items button.
Print this computer journal screen by clicking the Print button. This will print 3 copies of the checkout list (1 to be signed by the parent or CT checking out the book and 2 for our files), as well as labels for all returnable items checked out (with bar code of student’s ID number).
Click No Label to print the 3 copies of the transaction list without the labels.
*Note
: Double-click on an item’s Description to print 1 Transaction list and 1 label just for that item.Close the screen by clicking the Close button

Edit Library Journal
To edit a library journal:
Click "Edit library journal" from the Library tab. This option lets you finish a transaction if you were interrupted. You can scroll back through the last few transactions.
View Library Journal
Click "View library journal" from the Library tab. This option lets you find a old transaction. Simply double click on the ID of the checkout you wish to view.
Checkout Books to Staff
1. Click "Checkout books-staff" from the Library tab. The staff Library Journal displays:

Enter the Staff’s name and hit the Enter key. The transaction table displays.
Scan in all checkout items for this teacher.
Print the Checkout List by clicking the Print button (show) that displays once a staff name is entered. Have the CT sign the Checkout List.
Close the screen by clicking the Close
button.
Return Books by Student
You can return student books/supplies two ways:
by student name
by student ID
Click the desired option from the Library tab.
If you choose "Return by student name," a list of student names displays.
Click the student name to view the Return Form. If you choose "Return by
studentID," the following box displays:
Enter the student ID and click Open Form OR scan the label on the
item.

Double-click in the Return Date cell for each item being returned; today’s date populates automatically.
Click the Today button to print a receipt that the library staff signs and gives to CT/parent, proving all items were returned.
Click the All button to print a report of all books/items checked out to this student.
Return Books by Staff
1. Click "Return books-staff" from the Library tab.
2. Click a Staff name from the list that displays. The Book Return form for the chosen staff displays:

3. Double-click in the Return Date cell for each item being returned; today’s populates automatically.
4. Print the form by clicking the Print button.
5. Sign the form and give it to the CT (teacher) as a receipt.
6. Close the form by clicking the Close button.
Inventory Tab
The inventory tab is used to edit or add Library items (inventory).
Add Library Items
Click "Add Library Item" from Inventory tab.

Enter a Description of the new inventory item; choose a Category (Consume or Return).
Enter a Subject (such as History, Math, etc.)
Enter a Type (Book, CD, etc.)
Scan or type the ISBN.
Use the Find Record button to conduct a search for a particular item already in the database.
Enter all other information associated with this item in the fields provided and close the form.
Edit Library Items
To edit Library items by ISBN, choose "Edit Library Items by ISBN" from Inventory tab. Scan the ISBN on the back of the book or type it into the field provided. Click Open Form.

To edit a Library item by description, choose "Edit Library Item by Description" from the Inventory tab. Click a description from the list that displays:

The Library Item edit form displays:

Edit any of the item’s information including category, subject, type, quantity in stock, cost, etc.
Click the Close button to close the screen.
Update Library Item Totals
Click "Update Library Item Totals" from the Inventory tab. A spreadsheet of all current library items in stock displays.

Edit inventory stock totals in the appropriate cells of the spreadsheet to ensure the database has a record of actual library inventory levels.
Close the spreadsheet by clicking the Close button at the bottom of the screen.
Students Tab
The Students tab allows you to view student PO detail and incident logs.

PO by student detail
*A read-only list of Students and the remaining PO amounts for the current year. This list is sorted by student name and shows all transactions. Double-click on a student name to view PO detail for that student.
PO by student totals
A read-only summary list of PO totals with names of students and Staff associated with each total.
View all PO detail
A read-only list of all PO transactions in the database.
Withdrawals
A read-only list of all students withdrawn, with most recent withdrawals listed first.
*Note
: In Student Records and Staff Tracking, the PO by Student Detail query list shows the withdrawal amount for lost items, whereas in the Library and Departments modules of the software, this list shows unexpended funds.Queries Tab
This tab is used to view queries needed on a regular basis.

The following queries are available from the Queries tab:
qryFindDuplicateISBN
This query lists all duplicate ISBNs. If there is a duplicate ISBN in the database, go back to the Inventory tab and fix the error.
qryFindDuplicateDesc
This query lists all library items by description. For any items that are duplicates, go back to the Iventory tab and fix the error.
qryStudentWithdrawn
This query lists all withdrawn students, in order of most recent withdrawal dates.
Reports Tab
Currently, the only report on the Reports tab is the Labels Student report, used to print student mailing labels.

Print Mailing Labels
1. Click "Labels Students" from the Reports tab.
Mailing labels for all active students in system (Label includes: Student ID, Student Name, Address) display on the screen.
2. Place label sheets in the printer’s paper tray and then print the labels by choosing File, Print from the Acces menu bar.
